Background

UNICEF Sri Lanka, HR section is in need of short-term support for the section’s Human Resources administrative tasks in terms of supporting the section mainly in HR activities related to the emergency response. Therefore, the section is looking for an intern to help the team in the next six months which is deemed to be crucial.

Objectives

The overall purpose of this internship is to support the HR section in all administrative work

Key tasks and responsibilities

Under the supervision of the HR Officer,

The intern will be responsible for implementing the following tasks:

• Support in recruitment and placement (setting up and scheduling written tests and interviews, drafting vacancy adverts, following up with Hiring Managers to ensure KPIs are met, updating the Recruitment tracker)

• Support in the compilation of Consultancy documents

• Create a repository of all HR-related information; maintain/update it regularly.

• Support in learning and capacity development/compilation of Staff training for the year and updating the training dashboard

• Supporting surge staff in obtaining visas

• Updating the surge list

• HR Announcements -Staff introduction emails both surge support and regular staff/non-staff

• Coordinating staff orientations/UNDSS

• Compilation of visa documents and follow up

• Draft staff letters (visa/service)

• Maintain the database related to consultancies

• Arranging training/workshops/ sessions

• Perform other tasks as required.

Cost/Expenses:

Interns receive a stipend from UNICEF and must make their own arrangements for living expenses.

Insurance:

• UNICEF accepts no responsibility for costs or fatality arising from illness or accidents incurred during the internship; therefore, the intern must have adequate medical insurance.

• Applicants for internship must show proof of valid medical and life/accident insurance for the duty station for which they will work.

• General understanding of the work and mission of the UNICEF programme in Sri Lanka

• Insight and hands-on experience on UNICEF related to HR

• Become more familiar with working in a United Nations / international organization and in a multicultural environment

Key competencies, technical background, and experience required:

A) Required Education, Skills, and Experiences:

• Recently completed or currently pursuing a University Degree in HR Management, Management or a similar discipline

• Excellent computer literacy (Microsoft Office products), especially working on Excel sheets

  • Professional qualifications in HR will be an added advantage

B) Functional Competencies:

• Demonstrate initiative, creativity, and enthusiasm

• Able to work well in a team environment

• Ability to quickly understand instructions, ask for clarification when needed, adapt and work independently to produce results on time

• Ability to learn fast and respond positively to feedback

• Analytical and conceptual thinking

• Attention to details

• Highest standards of integrity, discretion and loyalty.

C) Language Proficiency:

• Fluent in written and spoken English

Intern Status within UNICEF:

• Interns are considered gratis personnel and as such, they are not staff members.

• Although not considered a staff member of UNICEF, the intern shall be subject to the authority of the Executive Director and the authority delegated by her to the Director and Heads of Offices. Interns are not entitled to the privileges and immunities accorded by member states to UNICEF’s officials and staff members.

• Interns may not be sought or accepted as substitutes for staff to be recruited against authorized posts.

• Interns may not represent UNICEF in any official capacity.

Other Relevant Information

• The intern will work on her/his own computer and equipment. The candidate selected will be governed by and subject to UNICEF’s General Terms and Conditions for interns.

•As an intern, you will respect the confidentiality of information that you collect or are exposed to at UNICEF. No reports or papers may be published based on information obtained from UNICEF without explicit written authorization by the Head of Office or Division Director.

• The UNICEF internship programme is not connected with employment and there is no expectancy of such. Interns cannot apply for posts advertised internally to UNICEF staff during the period of internship
