The UN Common Back Office (CBO) serves as a critical hub for providing operational support services to UN agencies situated at 304 Kim Ma, Ba Dinh, Hanoi, within the GOUNH.

Underlining its commitment to fostering talent, the CBO introduces 6-month internship opportunities for highly motivated individuals. These internships aim to actively contribute to the daily operations and task flow of the CBO, with interns operating under the overarching leadership of the CBO Manager and reporting directly to their team leaders. This overview encapsulates the pivotal role of the CBO and its dedication to nurturing skills through internship initiatives.

Duties and Responsibilities:

  1. Assist with filing and documentation: Interns will be involved in organizing and maintaining records, ensuring efficient and accessible documentation.
  2. Assist in updating the database: Contribution to the upkeep of databases, including data entry and verification, to facilitate accurate and reliable information management.
  3. Providing logistical support for protocol activities and services: Interns will play a role in coordinating and supporting protocol-related events and services, ensuring smooth execution.
  4. Assist in recording tickets and extracting data on/from the Service Desk software: Involvement in managing and extracting data from the Service Desk software for efficient ticket recording and resolution.
  5. Assist with CBO admin tasks: This includes activities such as stationery audit and refill, inventory management, and ad-hoc translation, contributing to the overall administrative efficiency.
  6. Assist with communication to GOUNH users and other teams: Interns will be involved in communication tasks, utilizing Intranet and other communication channels to interact with GOUNH users and other teams.

Required Skills and Experience:

  1. Educational Background:
    • Enrolled in a postgraduate degree program (master’s program or higher), OR
    • Enrolled in the final academic year of a first university degree program (bachelor’s degree or equivalent), OR
    • Recently graduated with a university degree (as defined in the above criteria) and must start the internship within one year of graduation.
  2. Communication Skills: Effective communication in English is a requirement for interns at the CBO.
  3. Computer Proficiency: Proficient in computer skills, with a strong command of MS Word and Excel.
  4. Database Management: Familiarity with database software and adequate skills in data entry.
  5. Data Verification: Ability to verify and correct inaccurate data in the database.
  6. Additional Advantage: Familiarity with image/video processing is considered advantageous.

Learning Expectations:

Although formal training programs are not provided, interns at the UN Common Back Office are expected to gain hands-on experience in administration management. By the end of the internship, they are anticipated to:
